OPUS Fusion Records Management Software

OPUS Fusion blends the robust Records Management functionality of OPUS Version 4 with the ease of use of our web based file tracking enterprise tool OPUSNet. Together, these tools provide a comprehensive solution for the file room and archive center.

OPUS version 4.5 has extended its traditional RIM feature set to include a new look and feel as well as new Sarbanes-Oxley compliancy for content and security. The OPUS security has been enhanced to comply with even the toughest corporate standards.

OPUSNet provides a web based interface to OPUS Version 4.5 for the remote enterprise users. These users can perform data entry, label printing, searching, viewing images and submitting requests for active or inactive items. Based on the OPUSNet user's security, additional functionality may be enabled.

Built For Enterprise Processing

Enterprise processing requires products to manage millions of records and perform high volume transactions over a wide area network. OPUS has been tested by a 3rd party company (Mercury Interactive) on an Oracle database of 400 Million item records and over two thousand simultaneous users performing six different high volume transaction processes. The underlining architecture of OPUS and OPUSNet were designed for this level of processing, thus smaller environments are seamless to OPUS.

Retention and Content Management

OPUS provides an extensive tool for companies to manage their corporate retention schedules. This includes citation management (linking to retention schedules), user definable schedules and interfaces to retention manager to import selected schedules. Items eligible for destruction can be electronically submitted and approved through a destruction workflow process. Items approved for destruction can be marked as destroyed and Destruction Certificates can be printed. Destroyed items can continue to be tracked in the OPUS database or archived to a database of destroyed items (retaining all history).

Content management assures that all user definable content fields are tracked and all changes are logged into an audit trail.

Circulation Workflow

  • Item Requesting— Remote OPUSNet users perform searches for records… not being concerned with the form of the record or location. Images are viewed and physical items can be requested regardless of their location. OPUSNet security will allow the remote user to only perform the functions they have permission for. Items already out may be placed on reservation.
  • Request Fulfillment— File room and archive center personnel are notified when new requests are pending in the queue for the locations which they are responsible for fulfilling. Pick lists are printed and can be uploaded to portable barcode readers to assure the accuracy of the picks. Pick lists can split for large picks and saved when not completed.
  • Item Charge Out— Email notification to the requester can automatically be performed when the item is ready to be picked up or shipped. OPUS transmittal devices or request transmittals can serve as acceptance by the user.
  • Item Refiles— Users can submit refile requests which notify the fulfillment center that the items are ready to return. Reports can be generated, items returned to a permanent location within the center, or random filing can be utilized.
