There was no out card and no system in place to track documents. The file inventory was maintained in an Excel spreadsheet and barcode labels were attached to the files, but there was no control over file movement, or any sort of legal document management.

Since the file room was unattended, the firm had resisted a file tracking system in the past; thinking with no attendant, the system could not be maintained.

The OPUS Solution…

The law firm installed OpusLite and the add-on OPUS Self-Check, with an interface to its legacy time and billing system.

Now as new clients and cases are opened, OPUS automatically creates a legal file based on the data extracted from the firm’s billing system. Legal assistants can easily query OPUS for new files; print their file labels to create a new legal file. Since OpusLite utilizes concurrent licenses, many of the legal assistants will share an OPUS license.

OPUS Self-Check is set up in the open file room with a touch screen monitor and a stationary barcode reader. Now as attorneys and their assistants come in to pull a file, they will simply access the self-check kiosk to easily record the file transfer. The file also can be easily scanned in upon return to the file room.

Now when a file is missing, users can simply query OPUS to determine where the file is and where it has been.
